ROMAN ARMY SCHOOL

Privacy Notice

How we use personal information supplied through this website and for the annual Roman Army School.

Who we are

The Roman Army School organises the annual Roman Army School conference in Durham. For questions about your personal information, contact us at enquiries@ad43.org.uk.

Information we collect

When you contact us, register an interest or make a conference booking, we may collect your name, postal address, email address, telephone number, booking choices, payment status and information needed to administer your attendance. Optional information may include vehicle registration, next-of-kin contact details, dietary requirements, medical information and accessibility requirements.

Why we use it

We use this information to respond to enquiries, administer bookings, arrange accommodation, meals and the conference programme, communicate with delegates and keep appropriate administrative and financial records.

Medical, dietary and accessibility information

Some information you choose to provide may reveal information about your health or other special-category personal data. We ask for this only where it may help us make appropriate arrangements for you. Where explicit consent is required, the booking form asks for it separately. You may withdraw that consent by contacting us, although this may affect our ability to make the requested arrangements.

Who we share information with

Booking requirements may be shared with Collingwood College where this is necessary to provide accommodation, meals, accessibility arrangements or other services connected with the event. We do not sell personal information or share it with unrelated third parties for their own marketing.

Mailing list

We add you to the general Roman Army School mailing list only if you specifically ask us to do so. You can ask to be removed at any time by contacting us.

How long we keep information

We keep personal information only for as long as it is reasonably needed for the purpose for which it was collected, including event administration and any legal, accounting or record-keeping requirements. Information that is no longer required is deleted or securely disposed of.

Your rights

You may ask us for access to the personal information we hold about you, ask us to correct inaccurate information, or raise a concern about how your information is being used. Other data-protection rights may apply depending on the circumstances. You can also complain to the UK Information Commissioner’s Office if you are unhappy with how your personal information has been handled.
